Every patient, test and bill in one system.
Registration, triage, consultations, lab, imaging, pharmacy, wards, theatre, maternity, billing and SHA and insurance claims in one system built for Kenyan hospitals and clinics. Notes, results and charges land on one patient record, so nobody waits on a paper file.

- Files go missingA patient waits while someone searches the records room, and the doctor starts without the history.
- Claims come back rejectedA missing signature or diagnosis code, and a claim waits another month to be paid.
- Services never reach the billTests, drugs and theatre items used on the ward are not charged, and the loss shows only at audit.
- Patients wait at every stepQueues at registration, triage, the lab and the pharmacy, and nobody can see where the hold-up is.
Your patients deserve better.
EMR, lab, pharmacy and billing. One login.
A hospital management system for private hospitals, clinics, maternity homes, labs and pharmacies. Sixteen modules share one database, so an order from the doctor reaches the lab, the result returns to the record and the charge lands on the bill or the claim. Dashboard
Patients in the building, beds, today's revenue and money owed by insurers on one screen: the first thing the administrator sees each morning.
Patients & registration
One record per patient across outpatient, wards, maternity and the satellite clinic, found by name, phone, ID or SHA number.
- Quick registrationName, date of birth, sex, phone, ID or birth certificate number and next of kin captured at the desk in about two minutes.
- One record, one numberEach patient gets one hospital number used at every visit, in every department and at the satellite clinic.
- Duplicate checkName, phone and ID checked on save, so a returning patient is not registered twice.
- SHA and insurance detailsSHA number, insurer, scheme, member number and cover limits kept on the record, with the card scanned.
- Cover confirmed before treatmentSHA status checked on the provider portal, or through an integration where one is available, and the result saved with the visit.
- Family linksMothers, babies and dependants linked, so a newborn's record starts from the mother's.
- Allergies and alertsDrug allergies, chronic conditions and alerts shown in red on every screen that opens the record.
- Photo and ID scanA photo taken at the desk and the ID scanned, to confirm the right patient at each step.
- Visit historyEvery visit, diagnosis, test, prescription, admission and bill in one timeline.
- Consent formsConsent for treatment, data sharing and reminders signed on a tablet and kept with the record.
- Cards, wristbands and labelsPatient cards, wristbands and sample labels printed with the hospital number and a barcode.

- Book at the desk, by phone or onlinePatients book at the desk, by phone or from a link on your website, and pick from open slots.
- RemindersSMS or WhatsApp reminders the day before and two hours before, with a reply to confirm or move the slot.
- Next review booked at the visitChronic patients booked into their next review before they leave, so nobody drops off the list.
- Walk-ins and queue numbersWalk-ins get a queue number at the desk, and the screen in the waiting area calls them in turn.
- Visiting specialistsVisiting specialists set their dates each month, and their clinics fill from a waiting list.
- No-shows and follow-upNo-shows flagged, with a call list for chronic and antenatal patients who missed a visit.
- Deposits for proceduresDeposits for scans and procedures requested by M-Pesa STK push when the booking is made.
- Waiting timesTime from arrival to triage, doctor and pharmacy recorded for every visit.
- Satellite clinic diariesThe Naivasha clinic books into its own diaries and refers to Nakuru specialists in one step.
Triage & patient flow
Vital signs, triage priority and a live board of every patient in the building, so the sickest are seen first.
- Vitals at the stationTemperature, pulse, blood pressure, breathing rate, SpO2, weight, height and BMI entered once and seen by every clinician.
- Triage categoriesEmergency, priority and routine set from the vitals and the complaint, with the nurse able to override.
- Out-of-range alertsReadings outside the normal range for age shown in red, and emergencies sent straight to casualty.
- Children under fiveWeight-for-age and MUAC recorded, with growth plotted on the child's chart.
- Patient flow boardEvery patient by stage: waiting, triaged, with the doctor, at the lab, at the pharmacy or at billing.
- Queue callingThe next patient called to a room on the waiting-area screen by queue number, not by name.
- Waiting time targetsPatients waiting longer than your target are flagged on the board.
- Casualty logEmergency arrivals, ambulance cases and police cases needing a P3 form recorded with times.
- Screening questionsQuestions on fever, cough or travel set by your infection control team and asked at triage.
- Readings from devicesReadings from connected BP machines and monitors, where the device supports a connection.
Consultations & EMR
The electronic medical record: history, examination, diagnosis, orders and prescriptions on one screen.
- Notes by templateHistory, examination and plan templates for outpatient, antenatal, paediatrics, dental, eye and specialist clinics.
- Everything on one screenVitals, allergies, past visits, results and current medicines beside the note the doctor is writing.
- Diagnosis codingDiagnoses picked from an ICD search, so claims and MOH returns use the right codes.
- Orders in one clickLab tests, imaging and procedures ordered from the note, priced and sent to the department and the bill.
- E-prescribingMedicines prescribed from the formulary with dose, frequency and duration, and sent to the pharmacy.

What is Pinch for Hospitals & Clinics?
A hospital management system built by Pinch Africa for Kenyan hospitals, clinics, maternity homes, labs and pharmacies: patient registration, triage, the EMR, lab, imaging, pharmacy, wards, theatre, maternity, billing, SHA and insurance claims, stores, payroll and MOH reports in one system.
How long does it take to go live?
21 working days from the first walk-through to go-live. Days 1 to 3 we map how you work, days 4 to 15 we build and you test, days 16 to 18 we move your data, and days 19 to 21 we train your team and switch on. Larger hospitals can go live in phases, starting with the modules that matter most.
Can it handle SHA and private insurance claims?
Yes. Claims are built from the bill with diagnoses, services and documents attached, checked for gaps before they go out, and tracked to payment. SHA claims are prepared to SHA requirements and submitted through the provider portal, or connected directly where SHA offers an integration to your facility. Insurer claims go out in each insurer's format.
How do you protect patient confidentiality?
Health data is sensitive personal data under Kenya's Data Protection Act, 2019. Each role sees only what it needs, every view and change of a record is logged, connections are encrypted, backups run daily and patient consent is kept on file. You remain the data controller and we sign a data processing agreement as your processor.
Can you move our records from paper or our old system?
Yes. We import your patient register, price lists, formulary, stock and open bills from your old system or spreadsheets, merge duplicates and check the result with you before go-live. Paper files are usually not typed in wholesale: we start each patient's electronic record at their next visit, and can scan old files where you want them on the record.
What happens when the internet goes down?
The system runs in the browser on a hosted server, so it needs a connection. We advise a second line or a mobile data router that takes over on its own, and give you short paper fall-back forms that are entered once the line is back. Where outages are frequent, we can set up a local server on site that syncs with the hosted one.
Do we have to replace everything at once?
No. Many facilities start with registration, consultations, the pharmacy and billing, then add the lab, wards, theatre and claims. Each module works on its own and they all share the same patient record.
What does it cost?
It depends on the modules, the number of beds, branches and users, and the connections you need. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
