Working with us
Read the full pageHow fast does Pinch Africa reply?
Within 24 hours on business days. WhatsApp is fastest, usually within 2 hours during studio hours (8 AM to 6 PM EAT).
How long does a Pinch Africa project take?
Every project is delivered in 21 working days, from the first workshop to launch. The written proposal shows the plan day by day.
What is Pinch Africa's minimum project size?
There is no hard minimum. Smaller engagements (under KES 500k) usually fit better as fixed-scope sprints; bigger ones go on retainer.
Does Pinch Africa work with brands outside Africa?
Yes, if the work involves Africa in some way (market entry, audience, payments, content). Pinch is built for African brands going regional or global.
What does ‘one accountable lead’ mean?
From kickoff to launch, the same senior person owns your project. No relay race. Same brain that scoped you ships you.
Does Pinch Africa sign NDAs?
Yes. Send yours and we counter-sign within a day, or use ours.
Can clients visit the Nairobi studio?
Yes. Book via the qualifier on the contact page and pick ‘in-person’. The studio is in Dam Estate, Langata, Nairobi.
Pricing
Read the full pageWhy don’t you publish exact prices for every service?
Because the honest answer always depends on scope. A brand identity for a single-product startup is different from one for a multi-location restaurant group. The bands above are real, the scoping call is free, and you’ll get a fixed-price proposal before signing anything.
What’s the minimum commitment?
Retainers run three months minimum to let paid campaigns stabilise and content compound. Projects are one-off. Partnerships are annual.
Do you work outside Kenya?
Yes. We have active clients in Uganda, Tanzania, Rwanda, Zambia, South Africa and Nigeria. Pricing is billed in KES or USD; we’re VAT-registered in Kenya.
Can you co-pitch with our in-house team?
Yes. We often work alongside in-house marketers as a creative + paid extension. Many of our retainers run that model.
How do invoices and payments work?
Monthly retainers are invoiced on day 1 of the month, due net-7. Projects bill 50/50 against milestones. We accept bank transfer (KES/USD), M-Pesa Paybill, and credit card via Stripe for international clients.
Systems and software
Read the full pageWhich industries do you build systems for?
Hospitality, travel and safaris, financial services (SACCOs, chamas, microfinance), education, healthcare, agriculture and co-operatives, logistics and transport, mining and energy, government and public bodies, churches and ministries, NGOs, e-commerce and retail, manufacturing, real estate and corporate teams. If your sector is not listed, the same modules usually cover it.
Is it an off-the-shelf product or custom software?
Both. Each sector starts from a working base of modules, so you are not paying to reinvent the basics, and then it is tailored to your process, forms, reports and approvals. You own your data and can export it at any time.
How long does it take to go live?
21 working days for the first phase: three days mapping how you work, about two weeks of building in short sprints you test as we go, then data migration, training and go-live.
Can we start with a few modules?
Yes. Most clients start with two to four modules and add more later. Modules share one database, so anything you add later already knows your customers, stock and accounts.
Does it work with M-Pesa, KRA eTIMS and WhatsApp?
Yes. Payments by M-Pesa and card, eTIMS invoices, and messages by WhatsApp, SMS and email are built in, along with connections to banks, OTAs, accounting tools and devices where the supplier offers an interface.
What does a system cost?
It depends on the modules, the number of users and sites, and the data to move. After a free scoping call you get a fixed-scope proposal in writing within 24 hours, so you know the price before work starts.
Who hosts and supports the system?
We do. Systems run on servers we manage, with daily backups, monitoring, updates and a support line on WhatsApp. If you prefer your own servers, we can deploy there instead.
Website Development
Read the full pageHow long does a website take?
Every site is delivered in 21 working days, from planning the pages to going live, including stores, booking sites and portals.
Can we update the site ourselves?
Yes. You get an easy editor for pages, products and posts, a short training session and written notes. We are a message away if you get stuck.
Do you host the site?
We can. Hosting on our servers includes backups, security updates, uptime checks and SSL. If you prefer your own host, we hand over everything.
Can customers pay with M-Pesa?
Yes. We connect STK push checkout and paybill payments, and match each payment to the right order or invoice automatically.
What does a website cost?
It depends on the pages, features and connections. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
Mobile Apps
Read the full pageFlutter, React Native or native?
For most apps, Flutter or React Native gives you iOS and Android from one codebase, which means one budget and updates that ship together. If you need heavy use of the camera, Bluetooth or other device features, we write those parts natively in Swift or Kotlin.
Will the app work without a signal?
Yes, where it matters. Screens and recent data are stored on the phone, actions taken offline are queued, and everything syncs when the connection returns.
Can customers pay with M-Pesa in the app?
Yes. We use Safaricom Daraja for STK push, so the customer confirms on their phone with their PIN. Payments are matched to the order automatically, and cards and Airtel Money can sit alongside.
Do you publish it to the App Store and Play Store?
Yes. We prepare the listings, screenshots and privacy details, take the app through review and publish every update. The apps sit in your own developer accounts, so you own them.
What does an app cost?
It depends on the screens, the back office and what it connects to. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
AI & Automation
Read the full pageWill the AI send things without us checking?
Only if you decide it should. We start with staff approving every reply and document. Once accuracy is proven, you choose which simple answers can go out alone, and everything else still waits for a person.
Where does our data go?
Your documents and records stay in your systems or on servers we manage for you. We use business AI services that do not train on your data, limit access by role, keep logs, and design with the Data Protection Act 2019 in mind.
Can it answer customers in Swahili?
Yes. Current AI models handle English and Swahili well. We test the assistant on your real questions in both languages before it goes live, and it hands over to staff when it is unsure.
What if the AI gets something wrong?
It will sometimes, which is why it shows its sources, flags answers it is unsure of and hands over to a person. We review mistakes with you each month and improve the rules and the data it works from.
What does it cost?
There is a build cost and a monthly running cost for AI usage and hosting, which depends on volume. After a free scoping call you get a fixed-scope proposal in writing, with the running costs estimated.
Process Automation
Read the full pageWhich processes should we automate first?
The ones that happen often, follow clear rules and keep someone retyping or chasing. Approvals, invoices, payment matching and reminders are the usual start. We look at volume and time spent, then agree a shortlist with you.
Do we need a new system?
Not always. Many workflows run on tools you already have, such as Google Workspace, Microsoft 365, your accounting package and WhatsApp. Where those cannot do the job, we build the missing piece in Laravel and host it for you.
Can it match M-Pesa and bank payments?
Yes. We pull paybill and till payments through M-Pesa Daraja, import your bank statements, match each payment to an invoice by reference, amount and name, and leave only the unclear ones for your finance team.
What happens when an approver is away?
You set a deputy or a time limit. A request that waits too long gets a reminder, then moves up the chain, and every step is logged with who acted and when.
What does automation cost?
It depends on the processes and the tools involved. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
CRM & ERP
Read the full pageWhat is Pinch CRM?
Pinch CRM is our own customer system: one inbox for WhatsApp, SMS, email, web chat and social, plus contacts, pipelines, booking pages, forms, campaigns, calls, invoices and reports. We host it, support it and build ERP modules on the same data.
How long does it take?
21 working days from the first walk-through to go-live. Days 1 to 3 we map how you work, days 4 to 15 we set up and build, days 16 to 18 we move your data, and days 19 to 21 we train your team and switch on.
Can we move from Zoho, HubSpot or Excel?
Yes. We bring across your contacts, companies, deals, items, open invoices and staff records during setup, and check them with you before go-live. Your old system can stay open for reference while the team settles in.
Do we need the ERP modules from day one?
No. Most businesses start with the CRM side, then add stock, purchasing, finance, HR or payroll. Every module shares the same contacts, items and staff records, so nothing is typed twice.
Does it handle M-Pesa, eTIMS and Kenyan payroll?
Yes. M-Pesa and bank statements are imported and matched to invoices, invoices carry the eTIMS details and are ready for a direct connection, and payroll works out PAYE, NSSF, SHIF, Housing Levy, NITA and HELB, with P9 forms.
Can it carry our own brand?
Yes. Your logo and colours, an AI brand voice and a web chat widget for your site. Agencies get a sub-account for each client and roll-up reports across them.
What does it cost?
It depends on the modules, users and channels you need. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
Learning Systems
Read the full pageShould we use Moodle or a custom platform?
If you need a standard course catalogue, Moodle set up and branded well can be enough, and we do that. If you sell courses, run cohorts or need M-Pesa, your own reports or your own look, a platform built around you is easier to run. Both take SCORM content.
Will it work for learners on mobile data?
Yes. Every screen is built for phones first, pages are light, video adjusts to the connection and notes can be downloaded for offline reading.
Can we sell courses and take M-Pesa?
Yes. Learners pay by M-Pesa STK push or card, in full or in instalments, and the course opens as soon as the payment is confirmed. Receipts go out automatically.
Do you build systems for schools?
Yes. Schools get Pinch for Schools, the school management system on our education page, with admissions, CBE report cards, fees by M-Pesa and a parent portal. Pinch Learn can run alongside it for online lessons and homework.
What does a learning platform cost?
It depends on the modules, the number of learners and what it connects to. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
SEO & AEO
Read the full pageHow long does SEO take?
Technical fixes can show within weeks. New content usually takes three to six months to rank well, depending on how competitive your searches are. You see the progress in the dashboard every month, not just at the end.
What is AEO?
Answer engine optimisation. More buyers now ask ChatGPT, Gemini, Perplexity or Google's AI Overviews instead of clicking through results. We structure and write your pages so these tools can understand and quote them, and we monitor whether they mention you.
Can you guarantee first place on Google?
No one honestly can, because Google and the AI engines make that call. What we commit to is the work: a clear plan, fixes and content every month, and straight reporting on rankings, mentions and enquiries.
Do you help with Google Maps and reviews?
Yes. We set up and look after the Google Business Profile for each branch, keep hours, photos and services current, ask happy customers for reviews and reply to every review.
What does SEO cost?
It depends on the size of the site, the number of locations and how competitive your searches are. After a free scoping call you get a fixed-scope proposal in writing, so you know the monthly price before we start.
Digital Marketing
Read the full pageHow much should we spend on ads?
Enough to learn quickly. We agree a test budget for the first month, see which platforms bring leads at a cost that works for you, then move the money to what works. You always see exactly what was spent and what it brought.
Which platforms should we be on?
Wherever your buyers already spend time. Consumer brands usually start on Meta and TikTok, B2B firms on LinkedIn and Google search. We test with small budgets before committing to any one channel.
How do we know the ads are working?
Every lead is tagged with the ad it came from and followed to a sale or a no. The dashboard shows spend, leads, cost per lead and sales, and the monthly report says what we will change next.
Do you create the content too?
Yes. Our studio writes, designs and edits the ads, posts and reels, so the campaigns and your feed look like one brand. Photo and video shoots can be added when you need fresh material.
What does it cost?
It depends on the channels, the content and the ad budget. After a free scoping call you get a fixed-scope proposal in writing, so you know our fee before we start.
Branding & Design
Read the full pageDo we own the logo and the files?
Yes. Once the project is paid, the final artwork is yours. You get the source files (AI, SVG, PDF and PNG), the colour codes and notes on the fonts and their licences.
Can you refresh our brand rather than start over?
Yes. Many clients need a tidy-up, not a new name. We keep what customers already recognise, fix what is inconsistent and fill the gaps, such as templates or a guidelines document.
Can our team make social posts themselves?
Yes. We build editable Canva templates for posts, stories and adverts, set to your colours and fonts, and show your team how to use them without breaking the look.
Do you handle printing?
We prepare print-ready files to your printer's specifications, check the proofs with you and can coordinate the print run for signage, packaging, brochures and banners.
What does branding cost?
It depends on the scope: a logo refresh, a full identity, or an identity with campaign artwork and templates. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
Photography
Read the full pageDo you shoot on location?
Yes. Most shoots happen at your premises, site or event, anywhere in Kenya, with our Lusaka team covering Zambia. For products we bring a portable setup with lights and backdrops.
How many photos will we get?
It depends on the shot list. Product shoots are planned per item and angle. Events and team shoots come with a set number of edited photos agreed in the proposal, so there are no surprises.
How soon do we get the photos?
Edited selects usually arrive within a week. For events we can send a few pictures for social on the day. Large product catalogues are delivered in batches so you can start using them early.
Do you handle consent for people in the photos?
Yes. We bring release forms for staff, guests and models and keep the signed copies, in line with the Data Protection Act 2019. For events we agree with you how attendees are told about photography.
What does a shoot cost?
It depends on the number of products or people, the locations, the hours on site and the editing. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
Videography
Read the full pageHow long should our video be?
As short as the message allows. Brand films usually run one to three minutes and social cuts 15 to 60 seconds. We agree the lengths with you at the start, based on where people will watch.
Do you write the script?
Yes. We write the script, plan the interview questions and coach the people on camera, so nobody has to read from a sheet. You approve the script before we film.
Can you add subtitles in Swahili?
Yes. Every cut can carry English subtitles, and we can add Swahili or other languages on request. Subtitles are burned in for social media and supplied as caption files for YouTube.
Do you handle consent for people on camera?
Yes. Everyone interviewed or featured signs a release and we keep the records, in line with the Data Protection Act 2019. For children and programme beneficiaries we agree extra safeguards with you first.
What does a video cost?
It depends on the length, shoot days, crew, locations and the number of cuts. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
IT Consulting
Read the full pageWhat does an IT audit cover?
Your websites and systems, hosting, email and domains, user accounts and passwords, devices, backups, and how personal data is stored and shared. You get a short report with risks ranked and a plan to fix them.
Do you offer monthly IT support?
Yes. A retainer covers monitoring, backups, updates and security for everything we look after, plus a helpdesk your staff reach by email or WhatsApp, with response times agreed in writing.
Can you help us with the Data Protection Act?
Yes. We map the personal data you hold, tighten who can access it, set up backups and breach steps, and prepare your ODPC registration and policies with you. For legal sign-off we work alongside your lawyer.
Can you move our email or hosting?
Yes. We move email to Google Workspace or Microsoft 365, and sites and systems to servers we manage. Each move is planned and tested first, so nothing is lost and staff keep working through the switch.
What does IT support cost?
It depends on the number of staff, devices and systems. After a free scoping call you get a fixed-scope proposal in writing, so you know the monthly cost before we start.
Pinch for Hotels & Lodges
Read the full pageWhat is Pinch for Hotels & Lodges?
A hotel management system built by Pinch Africa for Kenyan hotels, lodges and camps: reservations, booking engine, channel manager, front desk, housekeeping, POS, events, folios and payroll in one system.
How long does it take to get our property live?
21 working days, from the first walk-through to go-live. Days 1 to 3 we map how you work, days 4 to 15 we build and you test, days 16 to 18 we move your data, and days 19 to 21 we train your team and switch on.
Do we have to replace everything at once?
No. Most properties start with reservations, the booking engine and the front desk, then add the restaurant, events and payroll. Each module works on its own and they all share the same data.
Does it connect to Booking.com, Expedia and Airbnb?
Yes. Rates and availability stay in step with the OTAs, through the channel manager you already use or a direct connection where the channel offers one, so a room sold on one channel closes on the others.
Does it work with KRA eTIMS?
Yes. We connect folios and restaurant bills to eTIMS so each sale is validated as it is issued and the receipt number is kept with the bill.
Can guests pay in dollars?
Yes. Rates, deposits and bills can be in KES or USD, paid by M-Pesa, card or bank transfer, with the exchange rate recorded on each payment.
What does it cost?
It depends on the modules, the number of rooms and outlets, and the number of users. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
Pinch for Safari Operators
Read the full pageWhat is Pinch for Safari Operators?
A tour and safari operator system built by Pinch Africa: enquiries, itineraries, quotes, bookings, lodge and park fees, fleet and guides, vouchers, a client portal and supplier payments in one system.
How long does it take to get our company live?
21 working days, from the first walk-through to go-live. Days 1 to 3 we map how you work, days 4 to 15 we build and you test, days 16 to 18 we move your data, and days 19 to 21 we train your team and switch on.
Can we keep our current website?
Yes. We add an enquiry form or trip finder to your site that feeds the system, or rebuild the site if it is holding you back. Either way, every enquiry lands in the same pipeline.
Do the quotes use our own rates?
Yes. You load your lodge contracts, seasons, park fees and margins, and the itinerary builder prices each day from them. Update a rate once and every new quote uses it.
Can clients pay in dollars or euros?
Yes. Quotes, invoices and payments can be in USD, KES or EUR, paid by card, bank transfer or M-Pesa, with the exchange rate recorded on each payment.
Does it work with our agents?
Yes. Each agent can have a login with their own rates and commission, and you get monthly statements without building them by hand.
What does it cost?
It depends on the modules and the number of users. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
DaimaFund
Read the full pageWhat is DaimaFund?
DaimaFund is Pinch Africa's SACCO and chama platform: members, savings, loans, M-Pesa collections and payouts, dividends, SASRA returns and a member app in one system, built for Kenyan SACCOs and chamas.
How long does it take to get our SACCO live?
21 working days, from the first walk-through to go-live. Days 1 to 3 we map how you work, days 4 to 15 we build and you test, days 16 to 18 we move your data, and days 19 to 21 we train your team and switch on.
Can we move from our current system?
Yes. We import members, balances, loans and schedules from your current system or spreadsheets, then check the figures with you side by side so they agree before you switch.
Does it work for a chama, not just a SACCO?
Yes. Chamas, investment groups and microfinance lenders use the same modules with simpler rules: contributions, merry-go-rounds, fines, group loans and shares in a joint investment.
Can it prepare our SASRA returns?
Yes. Returns are drawn from the same ledger as your accounts, so the numbers match. Your finance team reviews and signs them off before they go to SASRA.
How is member data kept safe?
Access is set by role, data is encrypted, and every view and change is logged. Consent and data requests are handled the way the Data Protection Act 2019 expects, and Pinch hosts, backs up and monitors the system.
What does it cost?
It depends on the modules and the number of members. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
Pinch for Schools
Read the full pageWhat is Pinch for Schools?
A school management system built by Pinch Africa for Kenyan schools, colleges and training centres: admissions, classes, CBE report cards, M-Pesa fees, transport, boarding, staff and a parent portal in one system.
How long does it take to get our school live?
21 working days, from the first walk-through to go-live. Days 1 to 3 we map how you work, days 4 to 15 we build and you test, days 16 to 18 we move your data, and days 19 to 21 we train your team and switch on.
Do we have to replace everything at once?
No. Most schools start with learners, fees and the parent portal, then add assessments, transport and payroll. Each module works on its own and they all share the same data.
Does it handle CBE report cards?
Yes. Teachers record Exceeding, Meeting, Approaching or Below expectations per strand, add comments, and the report cards are built from those entries. School-based assessment scores are kept in the format KNEC asks for.
What about parents without smartphones?
They still get balances, receipts, absence alerts and notices by SMS, and pay through the school paybill as they do today. The portal is there for parents who want more.
Does it work for colleges and training centres?
Yes. The same modules handle intakes, units and semesters instead of grades and terms, with course fees on M-Pesa. Colleges and training centres often add an online learning space for notes and assignments.
What does it cost?
It depends on the modules and the number of learners. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
Pinch for NGOs
Read the full pageWhat is Pinch for NGOs?
An NGO management system built by Pinch Africa for organisations in Kenya and Zambia: programmes and M&E, field data, reach and safeguarding, grants and proposals, budgets, finance, donor reports, procurement, operations, people and governance in one system.
How long does it take to get our organisation live?
21 working days, from the first walk-through to go-live. Days 1 to 3 we map how you work, days 4 to 15 we build and you test, days 16 to 18 we move your data, and days 19 to 21 we train your team and switch on.
Does the field app work without signal?
Yes. Forms are saved on the phone and sync when the officer is back in range. Supervisors can see what is still waiting, so nothing is lost or counted twice.
Can it fill SF-425, FACE or EU PRAG reports?
Yes. Ready forms for SF-425 (US federal awards), FACE (UN agencies), EU PRAG Annex VI and Global Fund PU/DR fill from the same ledger and verified results, and your other donors' templates are set up once. Every report goes through review and sign-off.
Can donors see their own grants?
If you choose. Donor observer logins are read-only and show only that donor's grants: results, spend and submitted reports. Nothing else in the system is visible to them.
How does it stop money being spent twice?
When a requisition or order is raised, its amount is reserved on the budget line at once. The balance everyone sees is budget minus spend minus those commitments, and a supplier is paid only when the order, goods received note and invoice match.
How do you handle sensitive beneficiary data?
People are recorded under coded IDs, names sit in restricted fields, consent is kept with each record, safeguarding cases are sealed to named staff, and every view is logged, in line with Kenya's Data Protection Act 2019 and Zambia's Data Protection Act 2021.
Do you work with programmes in Zambia?
Yes. We have a studio in Lusaka, and one system runs Kenyan and Zambian offices side by side in KES, ZMW and USD, with Zambian PAYE, NAPSA and NHIMA and Kenyan PAYE, NSSF, SHIF and the Housing Levy in payroll.
What does it cost?
It depends on the modules and the number of users. After a free scoping call you get a fixed-scope proposal in writing, so you can put the cost into a grant budget before we start.
Pinch for Retail
Read the full pageWhat is Pinch for Retail?
A retail and e-commerce system built by Pinch Africa for Kenyan retailers: online store, shop tills, wholesale, stock across branches, deliveries, M-Pesa checkout and KRA eTIMS invoices in one system.
How long does it take to get our business live?
21 working days, from the first walk-through to go-live. Days 1 to 3 we map how you work, days 4 to 15 we build and you test, days 16 to 18 we move your data, and days 19 to 21 we train your team and switch on.
Can we start with just the online store?
Yes. Many shops start with the online store and inventory, then add tills, deliveries and wholesale. Each module works on its own and they all share the same stock.
Does checkout take M-Pesa?
Yes. Customers get an STK push on their phone at checkout and at the till, card payments work too, and till and paybill payments are matched to orders automatically.
Does it work with KRA eTIMS?
Yes. We connect your tills and online store to eTIMS so every sale is validated as it happens and the receipt number is kept with the order.
Can it connect to Jumia or Kilimall?
It is a connection we can build, depending on the access each marketplace gives its sellers. The aim is one stock count, so an item sold on a marketplace comes off the same shelf as the website and the shop.
What does it cost?
It depends on the modules, the number of shops and the number of users. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
Pinch for Manufacturing
Read the full pageWhat is Pinch for Manufacturing?
A manufacturing ERP built by Pinch Africa for Kenyan manufacturers: production orders on stage tracks, recipes, quality, stock in batches, purchasing, suppliers, sales, dispatch, costing, finance, HR and payroll in one system, with one approvals inbox.
How long does it take to get our plant live?
21 working days, from the first walk-through to go-live. Days 1 to 3 we map how you work, days 4 to 15 we build and you test, days 16 to 18 we move your data, and days 19 to 21 we train your team and switch on.
Do we have to replace everything at once?
No. Most factories start with production and stock, then add sales, finance and payroll. Each module works on its own and they all share the same data.
Can approvals follow our own levels?
Yes. Each approval type has its own value bands and approvers, the person who raises a document can never approve it, and every decision keeps its reason. An administrator can change the rules without a developer.
Does it work with KRA eTIMS?
Yes. Every invoice and credit note keeps its eTIMS invoice number and QR code, and the system is ready to connect to KRA eTIMS directly. Until that link is switched on, eTIMS records are imported and matched to each invoice.
Can the team use it on their phones?
Yes. Every screen works on a phone or tablet, so supervisors, sales reps and drivers update it where the work happens.
Can it connect to the tools we already use?
Yes. It is ready for M-Pesa, your bank and eTIMS. Today it imports M-Pesa statements and statements from nine Kenyan banks, exports bulk payment files, and sends journals to QuickBooks, Zoho Books or Sage if your accountant prefers them.
What does it cost?
It depends on the modules and the number of users. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
Pinch for Property
Read the full pageWhat is Pinch for Property?
A property management system built by Pinch Africa for Kenyan agents, managers and developers: listings, leads, leases, M-Pesa rent, arrears, service charge, repairs, landlord statements and off-plan sales.
How long does it take to get our portfolio live?
21 working days, from the first walk-through to go-live. Days 1 to 3 we map how you work, days 4 to 15 we build and you test, days 16 to 18 we move your data, and days 19 to 21 we train your team and switch on.
Can tenants keep paying the way they do now?
Yes. They pay by M-Pesa or bank as before. The difference is that each unit has its own account number, so every payment is matched to the tenant and the landlord automatically.
We are developers. Does it handle off-plan sales?
Yes. Units, reservations, sale agreements and instalment plans live in the same system, and buyers get site photos and progress updates in their app, which matters most to buyers in the diaspora.
Can landlords see their own statements?
Yes. Each landlord gets a login with their units, rent received, expenses, commission and payouts, plus a statement by email every month.
Can we bring in our existing tenants and balances?
Yes. We import units, tenants, leases, deposits and opening balances from your spreadsheets or current system, and check them with you before go-live.
What does it cost?
It depends on the modules and the number of units and users. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
Pinch for Companies
Read the full pageWhat is Pinch for Companies?
A company management system built by Pinch Africa for Kenyan companies: CRM, proposals, contracts, projects, timesheets, invoicing, expenses, HR, leave, payroll and documents in one workspace.
How long does it take to get our company live?
21 working days, from the first walk-through to go-live. Days 1 to 3 we map how you work, days 4 to 15 we build and you test, days 16 to 18 we move your data, and days 19 to 21 we train your team and switch on.
Do we have to replace everything at once?
No. Most companies start with CRM or HR and payroll, then add projects, approvals and the client portal. Each module works on its own and they all share the same data.
Does payroll handle Kenyan statutory deductions?
Yes. PAYE, SHA, NSSF and the Housing Levy are calculated each month, payslips go to staff phones, and you get the figures for your iTax returns. We update the rates when the law changes.
Can staff sign in with Google or Microsoft?
Yes. We connect sign-in to Google Workspace or Microsoft 365, so staff use the accounts they already have and lose access the day their account is closed.
Can it connect to the tools we already use?
Yes. M-Pesa, your bank, KRA eTIMS, email and calendars, plus exports for QuickBooks, Zoho Books or Sage if your accountant prefers them.
What does it cost?
It depends on the modules and the number of users. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
Pinch for Hospitals & Clinics

A hospital management system built by Pinch Africa for Kenyan hospitals, clinics, maternity homes, labs and pharmacies: patient registration, triage, the EMR, lab, imaging, pharmacy, wards, theatre, maternity, billing, SHA and insurance claims, stores, payroll and MOH reports in one system.
How long does it take to go live?
21 working days from the first walk-through to go-live. Days 1 to 3 we map how you work, days 4 to 15 we build and you test, days 16 to 18 we move your data, and days 19 to 21 we train your team and switch on. Larger hospitals can go live in phases, starting with the modules that matter most.
Can it handle SHA and private insurance claims?
Yes. Claims are built from the bill with diagnoses, services and documents attached, checked for gaps before they go out, and tracked to payment. SHA claims are prepared to SHA requirements and submitted through the provider portal, or connected directly where SHA offers an integration to your facility. Insurer claims go out in each insurer's format.
How do you protect patient confidentiality?
Health data is sensitive personal data under Kenya's Data Protection Act, 2019. Each role sees only what it needs, every view and change of a record is logged, connections are encrypted, backups run daily and patient consent is kept on file. You remain the data controller and we sign a data processing agreement as your processor.
Can you move our records from paper or our old system?
Yes. We import your patient register, price lists, formulary, stock and open bills from your old system or spreadsheets, merge duplicates and check the result with you before go-live. Paper files are usually not typed in wholesale: we start each patient's electronic record at their next visit, and can scan old files where you want them on the record.
What happens when the internet goes down?
The system runs in the browser on a hosted server, so it needs a connection. We advise a second line or a mobile data router that takes over on its own, and give you short paper fall-back forms that are entered once the line is back. Where outages are frequent, we can set up a local server on site that syncs with the hosted one.
Do we have to replace everything at once?
No. Many facilities start with registration, consultations, the pharmacy and billing, then add the lab, wards, theatre and claims. Each module works on its own and they all share the same patient record.
What does it cost?
It depends on the modules, the number of beds, branches and users, and the connections you need. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
Pinch for Co-operatives & Agribusiness

A management system built by Pinch Africa for dairy and produce co-operatives, outgrower schemes, aggregators and exporters: farmer register, collection, quality, farmer payments, input credit, loans, extension, traceability, buyers and finance in one system.
How long does it take to go live?
21 working days, from the first walk-through to go-live. Days 1 to 3 we map how you work, days 4 to 15 we build and you test, days 16 to 18 we move your data, and days 19 to 21 we train your team and switch on, ideally at the start of a pay period.
Some of our centres have poor network. Will collection still work?
Yes. The collection app saves every delivery on the clerk's phone and prints the receipt there, then sends the records when signal returns. The farmer's SMS goes out as soon as the phone syncs.
Most of our farmers do not have smartphones. Can they still use it?
Yes. Every farmer gets an SMS after each delivery and on pay day, and can check deliveries, pay, credit and loan balances through a USSD menu on any phone. The app is there for those who want it.
Can you move our member register and balances from Excel or another system?
Yes. We import members, shares, input credit, loans and advances from spreadsheets or your old system, find duplicates, and check the opening balances with your finance team before go-live.
How are farmers paid?
The pay run works out each farmer's gross from deliveries and grades, takes deductions in the order you set, and needs two officials to approve it. Pay then goes out by M-Pesa bulk payment or as a bank or SACCO file, and each farmer gets a statement.
Does it help with GlobalG.A.P. or buyer audits?
It keeps the records auditors ask for: the grower register, spray records, internal inspections, residue tests and lot traceability, with a recall drill you can run in minutes. Certification itself is still done by your certification body.
What does it cost?
It depends on the modules, the number of centres and farmers, and the number of users. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
Pinch for Logistics

A transport and logistics management system built by Pinch Africa for Kenyan couriers, transporters, clearing agents and warehouses: bookings, dispatch, a live fleet map, drivers, last-mile delivery with proof of delivery, clearing files, the warehouse, fuel, maintenance and invoicing in one system.
What does it cost?
It depends on the modules, the number of vehicles and branches, and the number of users. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
How long does it take to go live?
21 working days from the first ride-along to go-live. Days 1 to 3 we map how you work, days 4 to 15 we build and you test, days 16 to 18 we move your data, and days 19 to 21 we train your team and switch on.
Our trucks already have GPS trackers. Do we need new ones?
Usually not. We read positions from the tracker provider you already pay for, which is a connection we can build where the provider offers an interface. If a provider offers none, we can suggest trackers that do.
Does the driver app work without network?
Yes. Trip sheets load before the trip, and checks, photos, signatures and PODs are saved on the phone and sent when the driver is back in coverage.
Can our customers track their shipments?
Yes. Each booking sends a tracking link by SMS or WhatsApp showing the steps and the ETA, and account customers get a portal with every shipment, POD, invoice and statement.
Does it connect to the customs and port systems?
Your team keeps lodging entries in the customs system as they do today, and the clearing file records the entry, duty, charges and release. A direct connection is something we can build where an interface is offered to agents.
Does it work with KRA eTIMS and M-Pesa?
Yes. Invoices and credit notes are sent to eTIMS as they are issued, COD and invoices can be paid by M-Pesa, and paybill payments are matched to the right invoice.
Pinch for Mining & Energy

An operations system built by Pinch Africa for mines, quarries, mining contractors and energy companies: production, haulage, equipment, maintenance, safety, permits, the assay lab, stores, contractors, shifts, payroll, environment, community, licences and solar or mini-grid billing in one system.
How long does it take to get our site live?
21 working days, from the first site walk to go-live. Days 1 to 3 we map how you work, days 4 to 15 we build and you test, days 16 to 18 we move your data, and days 19 to 21 we train your teams and switch on.
Does it work at remote sites with poor network?
Yes. The phone and tablet app saves shift reports, checklists, hazards and readings on the device and sends them when signal returns. The office screens need an internet connection, which most sites already have by satellite, fibre or mobile data.
Can it connect to our fleet trackers and weighbridge?
Where your tracker or weighbridge supplier offers an interface, we can build a connection so positions, engine hours and weights come in on their own. Where there is none, the system reads their export files, or operators record loads on the cab tablet.
How does safety reporting work?
Anyone on site reports an incident, near miss or hazard from a phone, with a photo and the location, and can do it anonymously. Serious reports alert the right people at once, and each one is followed through investigation and actions until it is closed.
Can it handle PAYG solar tokens and smart meters?
It keeps your customers, meters, tariffs and payments, and matches M-Pesa payments to the right account. Creating tokens and locking or unlocking devices is a connection we can build where your meter or PAYG supplier offers an interface.
Do we have to replace everything at once?
No. Most sites start with production, maintenance and safety, then add stores, payroll and the rest. Each module works on its own and they all share the same data.
What does it cost?
It depends on the modules, the number of sites and the number of users. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
Pinch for Government
Read the full pageWhat is Pinch for Government?
A revenue and service delivery system built by Pinch Africa for municipalities, councils, state agencies, regulators and public utilities: revenue collection, permits, land rates, markets and parking, e-services, complaints, plan approvals, enforcement, procurement, budgets, projects, assets, registry, HR and payroll in one system.
Can you respond to our tender or procurement process?
Yes. We can respond to an open tender, a request for quotation or a request for proposals, with the company documents your rules ask for and a technical and financial proposal. If you are still planning, a free scoping call helps you write the specification.
How long does it take to go live?
21 working days for a first phase, usually revenue collection and the citizen portal. Further modules follow in phases of a few weeks each, so staff learn one part at a time and collections are never interrupted.
Where is the data hosted? Can it run on government servers?
Yes. It can be installed on your own servers or a government data centre, or hosted by us in the country. Either way the data belongs to you, access is limited by role, and you can export all of it whenever you ask.
Does it connect to IFMIS, M-Pesa and our bank?
M-Pesa paybill and payment prompts are built in. For IFMIS, banks and payment gateways it is a connection we can build where an interface is offered; where none is, we produce journals and files in the format IFMIS and your bank import.
What about citizens without smartphones or internet?
They can use a USSD menu on any phone to check bills, pay and get statements, receive receipts by SMS, or be served at a counter by staff using the same system. The portal is built to work with screen readers and large text.
Does it keep an audit trail?
Yes. Every bill, receipt, waiver, approval and change is logged with who did it, when and what changed, and the log cannot be edited. Receipts are never deleted, only reversed with a reason and a second officer, so audit queries can be answered from the system.
What does it cost?
It depends on the modules, the number of users and offices, and where it is hosted. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
Pinch for Churches & Ministries
Read the full pageWhat is Pinch for Churches & Ministries?
A church management system built by Pinch Africa for churches, ministries, faith-based schools and charities in Kenya: members and families, giving by M-Pesa, attendance, fellowships, volunteers, children's check-in, pastoral care, sermons, projects and branch accounts in one system.
How long does it take to go live?
21 working days, from the first meeting to go-live. Days 1 to 3 we map how your church works, days 4 to 15 we build and you test, days 16 to 18 we move your data, and days 19 to 21 we train your team and switch on.
Can members give by M-Pesa and get a receipt?
Yes. Members give to your paybill with an account name for each fund, such as TITHE or BUILDING. Each gift is matched to the member by phone number and receipted by SMS within seconds, and it appears on their giving statement.
We have several branches. Can each one see only its own?
Yes. Each branch has its own members, services, accounts and reports, and branch staff see only their branch. The main church sees every branch side by side and the totals for the whole church.
How do you protect member data?
Access is set by role, so giving is seen only by the treasury team, pastoral notes only by the pastor caring, and children's records only by the children's team. Consent is recorded, every change is logged, and the system is built to support your duties under the Data Protection Act 2019.
Our register is in Excel and on paper cards. Can you move it?
Yes. We import your spreadsheets, clean out duplicates with your office, and can type in paper cards as part of the setup. Members can then check and update their own details from a link.
Can it stream our services?
Your services stream through your YouTube or Facebook channel, and the system shows them on a watch page on your website and in the member app, with sermon notes, giving details and a connect card for first-time viewers.
What does it cost?
It depends on the modules, the number of branches and members, and the number of staff users. After a free scoping call you get a fixed-scope proposal in writing, so you know the price before we start.
